Our Organization and Mission:   The Office represents the State of Florida in state and federal civil and criminal courts, from trial courts to the Supreme Court of the United States. 

 

Position Summary: This position is in the Office of the Attorney General within the Consumer Protection Division in Tampa, Florida. This is an OPS (temporary) position that can be full-time or part-time (20 or more hours per week), for an initial period of 6 months. The position may be extended at 6-month intervals dependent on agency needs, and the employee’s performance. This position is to assist our staff with clearing out our file room by preparing documents for scanning, preparing shipments of boxes, and/or uploading scanned documents into our document management system OnBase.

Pay: $15.00 hourly

 

Qualifications:  

  • Two years of secretarial or clerical work experience; OR A high school diploma or its equivalent.

 

Preference will be given to applicants with good spelling and grammar skills and an excellent ability to follow detailed instructions as demonstrated by your application documents. Preference will also be given to applicants available to work full-time.

 

The Work You Will Do: The responsibilities of this position include, but are not limited to the following: 

This position’s primary duties are limited to preparing the closed case files for scanning to the archives. This process involves:

  • Removing all staples, paper clips, tabs, etc. from the case documents
  • Taping smaller papers (example: post it notes, index cards, receipts) onto a sheet of blank letter-size paper so it can be scanned
  • Separating documents by type according to the labels on the folders
  • Selecting the correct bar code for the document type
  • Identifying confidential information that may need to be removed and marked as non-public information
  • Putting the prepared documents with their corresponding barcode sheet in folders and placing the folders in boxes
  • Keeping records of what each box contains (using a word or excel document)
  • Preparing the boxes for shipment
  • Preparing Fed Ex shipping labels
  • Communicating by email with our Records Department regarding the shipments
  • Updating excel tracking reports

Additional duties may involve the following:

  • Scanning documents
  • Uploading documents to the agency document management system OnBase
  • Indexing and re-indexing documents in OnBase
  • Filing active case documents
  • Shredding documents
  • Keeping the file room organized
  • Keeping an inventory of cases stored in the file room
  • Other administrative assistance as needed
